Description

Smart City Recruiter are looking to recruit a Project and Planning Co-Ordinator for our client in the Bury St Edmonds area. This position has opened due to company expansion and is on a perm basis.

The ideal candidate will have worked in a coordination role in the Construction, Utilities or Telecoms industry in the past, creating job packs for engineers and uploading to databases.

OVERALL PURPOSE OF THE JOB:

  • To create job packs for the engineers
  • To meet targets and ensure job closures in a timely manner.
  • To ensure databases are administered and updated on time and correctly
  • To build relationships with internal and external customers to raise the company profile.
  • To provide high quality administrative support.
  • To assist with daily tasks and wider projects whilst gaining a strong understanding of the business.

KEY RESPONSIBILITIES & PERFORMANCE REQUIREMENTS

  • To create job/work packs for engineers/contractors
  • To optimise workload ensuring all engineers, sub-contractors to ensure scheduled compliance
  • To gather data and present in the appropriate manner across internal and external clients often following tight deadlines for completion
  • Liaise with project staff and clients to ensure smooth running of the works undertaken
  • To liaise with different departments to either gather data for reconciliation or to provide findings to improve SOPs
  • Coordinate and document closeout of work packs, ensuring works has been punch listed and all items closed out prior to accepting completed works from Contractor.
  • To report KPI’s and patterns to management team and clients
  • Attend meetings and off-site visits, ensuring accurate notes are taken and circulated to appropriate members
  • Provide assistance and training to the administration team
  • Any other task that may reasonably be requested by a line manager
  • Raising reqs for tools required.
  • Requesting notices to be raised through the clients noticing team.
  • Liaising with the TM company regarding the traffic management set up.
  • Dealing with the local council when required.

PERSON SPECIFICATION:

  • Have excellent people and time management skills.
  • Be logical and analytical in their approach to the data.
  • Be a problem solver and a fire fighter who is able to make rapid but accurate decisions
  • Have great numeracy skills
  • Be able to prioritise their own workload and that of others
  • Be able to work from their own initiative by listening to the needs of the business.
  • Be confident and assertive in expressing findings and recommendation.
  • Understand the confidential nature of the data they are dealing with and act accordingly.

QUALIFICATIONS/SOFTWARE:

English, Maths, IT, Excel – A fair understanding of all

Optimus advantageous but not a pre-requisite,
